Front Office Executive

    Responsibilities

  • Answering phone calls professionally and efficiently and forwarding calls to respective departments
  • Scheduling and confirming appointments, meetings and events
  • Greeting and assisting visitors in a professional and friendly manner
  • Ensure visitors sign in/out in the logbook or digital system.
  • Issue visitor passes and guide them to the appropriate personnel
  • Handling enquiries and sorting mail
  • Organize and maintain files and documents.
  • Copying, scanning and filing documents
  • Keeping track of office supplies and placing orders for replacements as needed
  • Assist in scheduling and organizing meetings or events.
  • Prepare meeting rooms, including arranging equipment and refreshments.
  • Adhere to company policies regarding visitor handling and security.
  • Notify the security team about any unusual activity.

    Education and professional qualifications

  • Bachelor’s degree
  • Minimum 1-3 years of front desk experience in the IT industry preferred
  • Excellent written and verbal communication skills
  • Working knowledge of computer software, such as word processors, spreadsheets and presentation tools
